SUPPORT STAFF INDUCTION

 GENERAL PROCEDURES

1.         Staff Handbook and College Map

Please find attached your staff handbook which outlines many college procedures.  A college map is also enclosed; you may find this useful in assisting your movements around College during the first few weeks.

2.         Hours of Work

Your hours of work will be as identified on your job description (or if casual employment, as specified by your Line Manager).

3.         Lunch Break

If you are entitled to a ˝ hour lunch break, this should be taken between 12.25pm and 13.25pm (college lunch break), or at a time negotiated with your direct Line Manager to fit in with your colleagues and college requirements.  There are two catering outlets available to staff and students.  These are situated in the main entrance in G Block and in the Grove Room in E Block.  Both sell a variety of hot and cold meals, snacks and beverages.

4.         Annual Leave

Annual leave entitlement is allocated to full time members of staff only, i.e. those who work during school time and school holidays (52 weeks a year).

On commencement, Full time staff are allocated 20 days annual leave, (rising to 25 days after 5 years service).  Leave should be taken during school holiday time unless exceptionally negotiated with your Line Manager.  An annual leave card will be provided for you by the Support Manager, and should be completed for all annual leave applications.

Term time staff must not take leave during school term time unless under extenuating circumstances.  If the case arises, permission must be requested in writing with sufficient notice.  If granted, this leave will be unpaid.

5.         Sickness

In the event of sickness, all support staff should contact the Support Manager via the Burleigh Office on 01509 554400, by 8.30am on the first morning of absence, and each morning thereafter.  She will record your absence, and pass on the information to your Line Manager.  For 3 to 7 days sickness (including weekends), you are required to complete a yellow Burleigh absence report form  (available from the Main Office) immediately following your return to work.

If your sickness continues after 7 days, in addition to the absence report form, you are required to obtain a doctors sick certificate to confirm your illness, this should given to the Support Manager as soon as possible after your return to work.

If you believe that your sickness is likely to continue for some time, you must contact the Support Manager or the Vice Principal (Admin & Resources) to notify them of this, to enable alternative staffing arrangements to be made, and the County Personnel to be notified accordingly.  You should also send in your doctors certificate  to confirm your illness.

All staff returning after an absence will have the opportunity to meet with their team leader/support manager.

If your illness continues for some time, it important that you establish regular contact with your Team Leader to keep them informed of your progress.  This will enable Burleigh to support you in your recovery and return.  This may involve your team leader coming to visit you at home on a regular basis (e.g. every 2/3 weeks).

In certain circumstances, where long term absence is due to recovery from an operation, maternity leave or a serious illness, a therapeutic return to work that benefits both yourself and Burleigh can be negotiated.

In the case of serious illness, a referral to the County Medical Officer may be necessary to help ascertain the details of your illness and length of sickness time off involved.

Full information is provided in the College’s absence monitoring policy.

6.         Medical Appointments

Paid time off will be given for staff to attend doctors/hospital/dentist appointments.  However, part time staff must try to arrange appointments in their own time and full time staff should try to arrange appointments at the beginning or end of a working day, or during a lunchtime.  Notification of any appointments, and subsequent time off where required should be given to your Line Manager by completing the absence report form, and where possible in confirmation in writing i.e. appointment letter/card.

7.         Compassionate Leave – Leave for Family Reasons

Compassionate Leave covers time off for funerals, death/illness of, or medical appointment for close family member i.e. partner, parent or child.

In the sad event that you require compassionate leave, all staff are entitled to 5 days paid compassionate leave.  Your Line Manager and the Support Manager should be notified as soon as possible.  Further days leave, whether paid or unpaid, can be negotiated with the Support Manager depending on the circumstances.

In all cases, you should complete the absence report form with the details and if necessary include a covering note.

8.         Health and Safety

As the employer, Burleigh is responsible for your health and safety at all times during your employed hours.  However, it is your responsibility as an employee to work with due care and attention for yourself and your colleagues to ensure that health and procedures are followed correctly.  If you feel at any time that there is a health and safety issue within your Section/Department, you must contact your direct Line Manager immediately.  If no action is taken, or you are dissatisfied with the response, you should contact the Support Manager as soon as possible.

In the event of you or a colleague having an accident/incident during work hours which requires medical assistance, you should seek the nearest first aider (list available from Main Office).  If the accident is serious and requires immediate medical attention, i.e. hospitalisation, you should contact Reception on 401 or 0 immediately, who will telephone for an ambulance.

In either event, first aid incident forms must be completed immediately or as soon as is practically possible in order to log such incidences, Reception will assist you with this paperwork.

All staff must ensure that they provide the Support Manager with up-to-date information of their next of kin in case they need to be contacted in an emergency.

9.         Emergency Evacuation

In the event of an emergency situation such as a bomb alert or fire, break the nearest fire point or notify Reception immediately and alert your colleagues.  The fire alarm will then be sounded, and you should immediately proceed to the nearest fire exit following the signs and notices in your work area.  You should familarise yourself with these procedures and evacuation route from your work area.

As part of your job, you may be allocated a role or emergency post to assist in these proceedings, follow the instructions you are given in such an event.

The emergency evacuation procedures are displayed in all rooms and will be fully explained by your Line Manager.

10.       I.T.

If your duties involve using a computer, the Network Manager will set up your workstation and allocate you a username and password.  You must notify the Support Manager of your password, which will be kept strictly confidential, but can then be used in an emergency in the event of your absence.  If you require any further instruction, notify the Support Manager who will arrange training with the Network Manager at a mutually convenient time.  All staff are required to ensure that they comply with the Data Protection Act.
